Accounting that starts from the forecourt
In most pumps the accountant re-types the DU sheets, purchase bills and khata into separate software at the end of the month. Mistakes creep in, and the owner only sees the real profit weeks later. In Petronix the same entries made at the pump become the accounting records, so the numbers are ready every day.
Books you get
- Daily cash book – opening cash carried forward, plus cash from approved DU sheets and khata cash received, minus expenses and deposits, gives the closing cash for the day.
- Journal entries – debit and credit entries for adjustments, with edit history.
- Bank statements – credit and debit entries for every station bank account, with an opening balance row.
- Expenses – electricity, salaries, maintenance and other expenses entered from the phone or the web.
- Sales and profit – margin per litre on each fuel, with VAT and cess netted out, daily or consolidated for the month.
VAT on petrol and diesel
Petrol and diesel are outside GST and taxed under state VAT, which makes the monthly calculation tedious. Petronix records VAT and cess on every purchase invoice and on sales, keeps VAT payments, and produces a monthly summary your accountant can file from.

Registers and reports
- DSR / DSSR – the daily stock and sales register in the layout your oil company and sales officer expect, including meter readings, stock and DIP.
- Daily register – fuel-wise sales, collections and khata credit detail for each day, by day and night shift.
- Product sales – lubricant and other item sales and stock.
- UPI report – UPI receipts by app, to compare with bank credits.
- Filler ledger – a Tally-style statement of each filler’s short and excess, received and paid.
All reports can be filtered by date and shift, printed, exported to PDF or Excel, and shared on WhatsApp.
Who sees what
Accounting pages are available to the owner and to staff you allow. Fillers only see their own shift and sheets. Every pump’s data is kept separate and private.
Frequently asked questions
Does Petronix replace Tally?
Petronix covers the daily books of the pump: cash book, bank, journal, VAT, expenses and registers. Many owners still give the monthly Excel exports to their CA for final accounts and income tax.
Is VAT calculated for my state?
You enter the VAT and cess rates that apply to your state, and Petronix uses them on purchases and sales.
Can my accountant log in?
Yes. Add the accountant as a staff user with access to reports and accounting only.
